Privacy Policy
This policy describes how your information is processed on the enVoice website and the MessePipeline landing page. Last updated: 23 October 2026.
Data controller
enVoice | Tanja Maier, Rathausplatz 12, 61348 Bad Homburg, Germany.
Contact for data protection enquiries: kontakt@envoice.de, telephone +49 6171 69495-0.
General contact enquiries
In the contact form on the enVoice website, we process your company, name, email address and message, as well as an optional telephone number, to respond to your enquiry. The legal basis is Article 6(1)(b) GDPR for steps taken prior to entering into a contract and Article 6(1)(f) GDPR for the legitimate interest in handling business enquiries. The mandatory fields are required to process the enquiry; the telephone number is optional.
The message is stored in the database together with a reference, receipt time, source page and the version of the privacy information shown, and is processed in the protected enVoice team area. General contact enquiries are stored separately from offer requests and marketing consents. Submitting the form does not constitute consent to further marketing.
Contact form and offer delivery on MessePipeline
We process your company, name and email address, as well as any telephone number, number of trade fair contacts and message you provide voluntarily, to supply the offer you request and handle your enquiry. The legal basis is Article 6(1)(b) GDPR insofar as the processing concerns steps prior to entering into a contract or contract administration; when contacting us on behalf of a company, the legitimate interest in handling the business enquiry under Article 6(1)(f) GDPR also applies.
For documentation purposes, we store your enquiry, a reference, receipt time and offer version. Your details are included in the requested PDF. The personalised offer can be accessed via a protected link valid for 30 days. Please enter only your own contact details in the form. We will agree separately on the transfer of trade fair contact lists after the assignment has been commissioned.
If you use the signature feature on the website, we store the additional address and signature details and the drawn lines to provide your complete PDF with signature. It can be accessed via the same protected offer link. Preparing this PDF does not submit an order to enVoice; you then send the completed offer yourself.
Optional consents
The consents cover information from enVoice | Tanja Maier about the it-sa Special and future promotions and offers relating to lead generation, sales support and sales training. Telephone and email can be selected separately. Consent is given only by actively ticking the respective box. The legal basis is Article 6(1)(a) GDPR. As evidence, we store the selection, the full consent text, a separate consent version and the time together with the enquiry. Previous consents remain limited to the scope stated when they were given.
You may withdraw any consent at any time with future effect by contacting kontakt@envoice.de. Withdrawal does not affect the lawfulness of processing carried out before withdrawal. The offer download is available regardless of your consent choices.
Technical provision and recipients
The website is provided through OpenAI’s ChatGPT Sites on Cloudflare infrastructure. Data necessary for provision and operation is processed for technical purposes; form entries are stored in the website’s database. Access to enquiries is granted to the people responsible for processing them at enVoice and, to the extent necessary, to service providers used for hosting and technical operation.
Further information from the providers: OpenAI privacy information and Cloudflare privacy information. These providers may also process data outside the European Economic Area. Information about the legal bases and safeguards for their transfers is available in the linked provider information.
Internal team access
Approved team members sign in with their own ChatGPT accounts. To check and administer access, we store their website-specific account ID, account name, email address, access status, and request and approval times. Access is approved by enVoice. Only approved team members can access general contact enquiries, offer requests, consents and their CSV export. Administration of access rights is reserved to the operator. The legal basis is the legitimate interest in protected internal processing under Article 6(1)(f) GDPR.
Retention period and your rights
We retain the information for as long as it is needed to process the enquiry, provide evidence of consent or meet statutory retention obligations. When the purpose of processing no longer applies, the data will be deleted subject to statutory obligations.
Subject to the statutory requirements, you have rights of access, rectification, erasure, restriction of processing, data portability and objection, as well as the right to withdraw consent. You may lodge a complaint with a data protection supervisory authority, in particular the Hessian Commissioner for Data Protection and Freedom of Information.
The mandatory information is needed to process your enquiry. In the MessePipeline offer form, the telephone number, message, number of trade fair contacts and contact consents are optional. This website does not make automated decisions with legal effect.
Notifications about homepage contact enquiries
Messages submitted through the contact form on the enVoice homepage are stored in the protected team area. When email delivery is configured, enVoice also receives an internal email at kontakt@envoice.de containing the submitted contact details, message text and enquiry reference. Microsoft 365 / Exchange Online is used for this purpose. This is solely for handling your enquiry and does not register you for marketing. Information about processing by Microsoft can be found in the Microsoft privacy information.

The website uses its own features for offer delivery and enquiry processing. This landing page has no analytics or marketing tracking built in.
